Attaching electronic invoices (UBL)
Stagent can automatically attach a structured XML version of your invoices to make it easier for buyers to import them into their accounting systems. This electronic invoice format follows the UBL (Universal Business Language) standard.
What is UBL?
UBL is an international standard for electronic invoices. When you enable UBL attachments, Stagent includes an XML file alongside your PDF invoice. This allows buyers with modern accounting software to automatically import your invoice data without manual entry.
Many accounting systems like Xero, QuickBooks, and Exact can read UBL files directly, saving time for both you and your buyers.
Enable UBL attachments
Enabling UBL attachments is simple and requires no additional setup:
- Navigate to Settings in the main menu
- Select Invoices and scroll to Peppol & UBL
- Find the toggle for Attach electronic invoice (UBL)
- Toggle it to on
- Click Save
That's it! From now on, all invoices you send will automatically include a UBL XML attachment in addition to the PDF.
Note: For Italian clients, Stagent automatically uses the FatturaPA format instead of standard UBL.
How it works
Once enabled, every invoice email you send will include two attachments:
- PDF file: The regular invoice your buyer can view and print
- XML file: The structured UBL data they can import into their accounting software
Your buyers don't need to do anything special to receive the XML attachment. It's included automatically in the same email as your PDF invoice.
